Elmia is committed to protecting your personal privacy. This notice explains how we collect, use and safeguard personal data when you interact with us – for example as a visitor, exhibitor, organizer or business partner.
We respect your privacy and process your personal data in accordance with applicable legislation, industry standards and ethical practices. Our work complies with the GDPR (General Data Protection Regulation), EU Regulation No. 2016/679 (the Data Protection Regulation), which has applied in all EU Member States since 25 May 2018.
Who does this information apply to?
This information applies to you if you:
- visit a trade fair or event at Elmia
- are an exhibitor, stand staff member or sponsor
- represent an organiser hosting an event with us
- are a partner, speaker, supplier or other business contact of Elmia

Collection and Processing of Personal Data
The personal data we collect depends on your relationship with Elmia – for example, if you are a visitor, exhibitor, organizer or partner, and this can happen in different ways depending on which category you belong to.
This may include name, contact information, company or organization, position, and information provided in connection with registration, ticket purchase, booking or other contact with us. In some cases, we also collect information via partners or from publicly available sources, such as public registers.
Through Elmia's digital channels, we offer you the opportunity to order information, ask questions, buy tickets and register for our fairs and other events. In some cases, you may provide personal information about others, for example when registering multiple participants. We then assume that you have the right to share this information with us.
In order for us to be able to prepare your visit and adapt our communication and offers to you, we may also save certain information about your interests, if you have provided this when registering. This may, for example, concern seminars and lectures you want to attend or products you are interested in.
When you visit Elmia's websites, we use cookies and similar technologies. More information about how we use cookies and what choices you can make can be found in our cookie policy.
We do not knowingly collect personal information about children and do not engage in marketing directed at minors.

We process personal data in order to:
- administer registrations and ticket purchases
- manage access control, safety and on-site customer service
- communicate before, during and after events
- fulfil agreements with exhibitors, organisers and partners
- develop, evaluate and market our operations
Processing is based on applicable legal grounds, such as contract, legal obligation, consent or legitimate interest.
Elmia may use your personal data to inform you about our events and activities based on the legal basis of balancing of interests. This may be done through marketing via email. As a visitor to an event, you can at any time refuse future mailings via the unsubscribe link in the email.
If you are an exhibitor and want to be removed from our registers, you can contact us via [email protected].
At many events, we use name badges with barcodes that are scanned at the entrance to manage entry and security.
At trade fairs, exhibitors can offer visitor scanning, which means that they scan your badge to collect contact information for business purposes (leads). It is always voluntary to let an exhibitor scan your badge. When scanning takes place, the exhibitor has access to the information you provided during registration.
If the exhibitor is established outside the EU/EEA, the personal data may be transferred there. If you do not want this to happen, you should refrain from scanning.
If personal data is transferred to countries outside the EU/EEA, Elmia ensures that this is done in accordance with the GDPR, for example through the EU Commission's standard contractual clauses.
If you register for an event via a personal invitation from an exhibitor, the exhibitor will receive access to your personal data as well as information about your attendance at the event.
Yes. Photography and filming take place at our trade fairs and events to showcase our venues and activities, for example on our website, in social media, newsletters and printed materials.
Images or videos are considered personal data if an individual can be identified. We take both wide-angle shots of larger crowds and close-up images where individuals may be more clearly visible.
Processing is based on a legitimate interest assessment. Signage on site informs you that photography and filming are taking place. You can always notify the photographer or contact us afterwards if you do not wish to appear.
Images and video material are retained as long as they are relevant for their purpose and are regularly deleted in accordance with our procedures (but in any case for a maximum period of five years).
Yes. Elmia uses CCTV surveillance in and around the venue to maintain safety and security. Recorded material is stored for a maximum of 21 days, unless it needs to be retained longer, for example in connection with an incident investigation.
We retain personal data for as long as necessary to fulfil the purposes for which it was collected. The retention period varies depending on your relationship with Elmia and the type of event or communication involved.
Data related to events is normally stored for a limited period after the event, while data required by law, such as accounting records, is retained in accordance with legal requirements (up to a maximum of 7 years).
For certain events organised by external organisers at Elmia’s premises, Elmia acts as a data processor rather than a data controller.
In such cases, the organiser is responsible for providing information about personal data processing and for handling your rights. Information about the responsible organiser is provided during registration or on the event website. You can find all current events in our calendar.
You have the right to:
- access your personal data (data subject access request)
- request correction of inaccurate data
- request erasure in certain cases
- object to or request restriction of processing
- withdraw your consent
- the right to receive certain personal data in a structured and machine-readable format (data portability), when the processing is based on consent or contract
