GENERAL

 

Why don’t you use barcode scanners?

- There are three ways to register a visitor.

By barcode

By magnetic card

By number code, Visitor ID

- We’ve chosen a number code because it’s fastest. Registration is very simple. Read the code, make a note of it and which activity you want to do, as well as what the visitor is interested in.

I can’t see the menu to the right after logging on.

- This is because your computer settings block cookies. A cookie is a small text file which is stored on your computer.

We use ‘per-session cookies’ to store your selected fair and language, and to ensure the website works satisfactorily. No data about you or your computer is stored, and the cookies are deleted as soon as you close your web browser.

BEFORE THE FAIR

What preparations do I need to make before using the system?

- First and foremost, formulate a plan for how to deal with your visitors, both at the stand and after the fair. Plan your work – work your plan!

- Once you’ve formulated a plan you’ll know which Categories you want to meet. E.g.: Customer, Prospect, MD, Marketing Manager, etc. (It’s equally important to identify which customers are less important. For example, if students are not your main target, make sure you deal with them correctly without taking time from those you want to meet.)

- You’ve also decided which activities to do after the fair. These might include Contact, Visit, Submit tender or Send materials, for example.

- Make sure you know which categories the visitors are divided into. The fair’s Project Manager can help out with this. The information is shown on the invitation cards and on the info-sheet handed out at the stand on the first day of the fair (but don’t wait that long!). Make sure everyone working at the stand is familiar with the codes.

- Log on to Elmia’s website and click on the “Visitor Registration” link. Change the Category and Activity according to your plan.

- Add the names of everyone working at your stand. This makes it easy to see who registered the customer and/or who will be taking care of them afterwards.

- DECIDE which type of registration you want to use. Online or Offline? Contact Exhibitor Service if you need help choosing a method.

- Now you’re ready for the fair!

 

Can I change the categories?

- Yes, once you’re logged on and have clicked on the “Sales Support” link you’ll see a tab called “Manage Categories”. You can change them there; there are a maximum of 6 activities.

DURING THE FAIR

How do I register customers at the stand?

- Read and make a note of the Visitor ID on your contact registration card or directly in the computer. If the customer has no Visitor Badge, ask them to put it on. Sometimes it’s on the wrong way, so ask them to turn it around if necessary.

How can I view the customer list?

- Once you’re logged on and have clicked on the “Visitor Registration” link you’ll see a tab called “Customer List”, click on it to view the data. The list is available from day 2 and is updated every night.

Can the visitor’s details be changed if there’s a spelling mistake or something’s missing?

- No. As the database containing customer details is a central database for all customers, the details can’t be changed. Each exhibitor can of course register the same visitors, but they can’t amend the details of the visitor. Once the list has been downloaded, the details can of course be changed. Elmia recommends that you always keep your customer list up to date.

I can’t see the customer details when I try to register, it says the visitor does not exist. What’s wrong?

- This only happens when there has been a high number of visitors at the entrance to the fair. When there are large numbers coming in, the system may not have updated the database by the time the visitor reaches your stand. The problem will soon pass and a temporary delay is normal.

AFTER THE FAIR

How do I download the customer list?

- Once you’re logged on you’ll see a tab called “List Customer Data”. This is where the details are stored. At the top there is a link called “Download customer list”, click on the link to save the data onto your computer. The data will be saved as a tab-separated text file. It can be opened in Excel or imported into your own Sales Support system. Alternatively, business card files can be downloaded one customer at a time. These can then be imported into an e-mail program such as MS Outlook.
